Green Pelican Software is a joint venture between Accentra software and InsideOut. Both organisations are successful in their own right. Accentra provide accounting and payroll solutions to SME’s and InsideOut provide back office outsourcing solutions to the Recruitment Industry.

By working together, using Accentra’s proven payroll and accounting products and InsideOut’s 30 years experience within the Recruitment Industry, Green Pelican has been created which provides a comprehensive, very efficient and flexible back office solution for Recruitment Agencies.

The flexibility of the product enables it to be used in all Recruitment Agencies – from start up’s to multi-branch Agencies and across all sectors from Industrial temps through to IT Professionals.

Web- based, Green Pelican can be made available to all your own staff, Contractors and Temps and also your own Customers giving real time information and enhanced financial and operational control.

Green Pelican can host and manage the application for you, and provide an outsource service for those elements of the solution you do not want to do in-house.

Green pelican is available on a license basis dependent on the number of users and processes required or on a pay as you go basis, where you simply pay as you use the system.

Our Approach
We will tailor our approach to meet the needs of your organisation. We will listen and understand your operation requirements and then map your needs to our software solutions. We will discuss technology and how the application should be hosted and discuss how the solutions shall be delivered through your own back office staff or staffed by our own staff or a combination of both. A project plan will be developed and we will work closely with you not only on delivering a successful solution but maintain contact to ensure the solution meets your needs in the future.

Timesheets
The system has been designed to ensure you manage timesheets in the way which suits the needs of your business. Timesheet capture can be
  • Full online timesheets with Client online authorization
  • Fax back timesheets – time entered online, printed authorized and faxed back to be automatically checked and attached to the relevant record in Green Pelican
  • Optical character recognition of manually completed timesheets
  • Import from booking sheets
  • Import from Front Office Systems
  • Manual paper timesheets with image capture.
The system allows for any of the above timesheet capture options and being online the data is available to those users given authority to view elements of the data.

The system is linked to email and SMS enabling missing timesheets to be chased efficiently and fast and acknowledgements sent confirming receipt.

Payroll 
In developing the payroll system, experience and knowledge of processes was drawn from the Clients currently serviced by InsideOut. As a result functionality has been built in which provides options to consider and choose to ensure you run your payroll efficiently and how you want to.

The system manages the process of paying both permanent and temporary workers through PAYE, as well as purchase ledger payments to Contractors’ Limited Companies. Payrolls can be run daily, weekly and monthly.

Interfaces directly with HMRC enabling day to day electronic reporting of joiners and leavers and full electronic upload of year end data.

A comprehensive set of reports is available including holiday pay accrued and paid

Sales Invoicing
Sales invoicing is totally flexible and can be tailored for your individual Client’s requirement. You can have weekly or monthly invoices, consolidated or single invoices or a combination of all options. Invoices can be sent out automatically via email or printed ready for posting. How you do it is down to you and your Client’s requirements. Other features include a credit and re invoice process and a cash receipting process which enables you to perform the credit control process from the system

Secure Portal
Being web-based, our solution enables data to be shared within your organization on a real time basis. Specific data can, if required, also be made available to third parties (such as Clients). You can access the system from anywhere in the world and analysis data and run reports at any time you require. Contractors and temps can log into see their timesheet history, create timesheets and review and print payslips and remittance advices. They can also, if required, make changes to the personal details. Clients can login to authorize their timesheets and can review and print their own sales invoices.
